Daizen Chess Champs, run by Daizen Services Private Limited ("we", "us", "our"), respects your privacy and your child's privacy. This policy explains what personal data we collect through www.daizenchesschamps.com, our apps and services (the "Platform"), why we collect it, how we protect it, and the choices and rights you have.

We handle personal data in line with India's Digital Personal Data Protection Act, 2023 and the rules made under it, the Information Technology Act, 2000, and other applicable laws. Under these laws, we are the "Data Fiduciary" for the data described here.

In short: we collect only what we need to teach chess and run your account; we get a parent's consent before collecting a child's data; we never sell personal data; we do not show targeted advertising to children; and you can ask us to access, correct or delete data at any time.

We do not ask students or parents for sensitive information such as Aadhaar numbers, health data or religion.

2. How we use your data

  • Running your account: creating parent and child profiles, logging in and verifying identity by OTP.
  • Teaching: placing students in the right batch, running live classes, assigning and checking homework, and tracking progress.
  • Parent updates: class reminders and progress updates by WhatsApp, SMS, email or app notification, in the language you choose.
  • Payments: processing payments, sending receipts and reminders, and keeping accounting and tax records.
  • Safety and fair play: protecting children, preventing misuse, investigating complaints and detecting cheating.
  • Improving the Platform: fixing problems and understanding which lessons work well, mostly using combined or de-identified data.
  • News for adults: telling parents or adult users about new courses, camps or tournaments, only where you have agreed. You can opt out any time.
  • Legal obligations: meeting tax, accounting and other legal requirements.

We rely on your consent (given at sign-up, and by a parent for a child) and, where the law allows, on legitimate uses such as meeting legal obligations.

3. Children's data and parental consent

  • Under Indian law, anyone under 18 is a child. We collect a child's personal data only with the consent of their parent or legal guardian, given when the parent creates or verifies the account.
  • We collect the minimum data needed to teach the child.
  • We do not track children's behaviour for advertising, and we do not show targeted advertising to children.
  • Leaderboards and other public features show only a first name, initial or nickname.
  • We will not use a child's name, photo, video or voice in marketing without separate written permission from a parent.
  • Parents can view, correct or delete their child's data, or withdraw consent, at any time (sections 8 and 9).

4. Who we share data with

We do not sell or rent personal data. We share data only with:

  • Coaches and staff who need it to teach or support you, bound by confidentiality and child-safety rules.
  • Service providers who process data for us under contract, only for the purposes above: payments (Razorpay); website hosting and database (Vercel and Supabase); video classes (such as Microsoft Teams, Google Meet or Zoom); messaging (WhatsApp, SMS and email providers); analytics and error monitoring; and our accountants.
  • Other students in a batch, who see a child's first name or nickname during live classes.
  • Authorities, where required by law, court order or to protect someone's safety.
  • A buyer or successor, if our business is merged or sold, who must continue to protect your data under this policy.

5. Cookies and analytics

We use cookies and similar technologies to keep you logged in, remember settings such as your light or dark theme, and understand how the Platform is used. Essential cookies are needed for the Platform to work. Analytics cookies are used only with your consent and can be switched off in your browser settings. We do not use advertising cookies in areas used by children.

6. How long we keep data

  • Account and learning data: while your account is active, and deleted or anonymised within 90 days after you close your account or after 2 years without activity (we will remind you first).
  • Class recordings: 90 days, unless needed longer to investigate a complaint.
  • Payment and invoice records: for the period required by tax and accounting laws (generally up to 8 years).
  • Demo requests that do not become accounts: 6 months.

7. How we protect data

We use reasonable security measures, including encrypted connections (HTTPS), access controls so staff and coaches see only what they need, secure password storage, regular backups and activity logging. No online system is completely secure, but if a personal data breach happens we will inform affected users and the Data Protection Board of India as required by law.

8. Your rights

You (or a parent, for a child) have the right to:

  • Access a summary of the personal data we hold and how we use it.
  • Correct or complete inaccurate or incomplete data.
  • Erase data that is no longer needed, unless we must keep it by law.
  • Grievance redressal through our Grievance Officer (section 12).
  • Nominate another person to exercise these rights if you die or become unable to do so.

Email hello@daizenchesschamps.com to use these rights. We may need to verify your identity first, and will respond within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

9. Withdrawing consent

You can withdraw consent at any time, as easily as you gave it, by contacting us. We will then stop processing the related data within a reasonable time, unless the law requires us to keep it. Withdrawing consent for a child's data means we can no longer provide classes or learning features for that child. It does not affect processing done before withdrawal.

10. Where data is stored

Your data is stored on secure cloud servers run by our service providers, which may be located in India or other countries. When data is processed outside India, we make sure this is permitted under Indian law and protected by suitable safeguards.

11. Changes to this policy

We may update this policy from time to time. We will post the new version here with a new "Last updated" date and tell you about significant changes. If a change needs fresh consent, we will ask for it. See also our Terms of Service.
