Child Safety Policy

Daizen Chess Champs teaches chess to children online. This policy explains what we do to keep every child safe in our live classes and on our website and app, and what to do if something worries you.
It applies to everyone who works with us (coaches, staff and volunteers) and to all students and parents. It should be read with our Terms of Service and Privacy Policy.
1. Our promise
- The safety and wellbeing of the child comes before teaching, results and business.
- Every child is treated with respect, whatever their age, gender, language, religion, ability or background.
- We do not tolerate abuse, bullying, harassment or grooming of any kind, by anyone.
- Every concern is taken seriously, and nobody is treated badly for raising one in good faith.
2. How we check our coaches
Before a coach teaches our students:
- Self-declaration: a signed statement of no convictions or pending cases, especially any involving children.
- References: two references are called, including one who has seen the coach work with children.
- Interview and demo class: observed by our team before the coach meets any student.
- Safeguarding code: every coach reads, discusses and signs our child-safety code of conduct.
After joining, coaches are reviewed regularly: we sit in on classes, and parents can rate their child's coach. A coach who breaks the safeguarding code is removed from teaching.
3. Safety in live classes
- Classes are held online on Microsoft Teams, in small batches, at fixed times that parents know in advance.
- Class links are sent to the parent. Only enrolled students, their coach and our staff may join.
- With the consent parents give at sign-up, classes may be recorded for student safety, quality checks and revision. Recordings are shared only with students of that batch, their parents and our staff, and are kept for 90 days unless needed longer to resolve a complaint.
- Parents are welcome to stay nearby during class, and we encourage it for younger children.
- Coaches teach from a suitable, professional setting and use respectful, age-appropriate language.
- We never use a child's name, photo, video or voice in marketing without separate written permission from a parent.
4. Contact between coaches and children
- Coaches talk to students in class, and through the Platform or official channels where a parent is included.
- Coaches must not message a child privately on personal phone numbers, social media or games, and must not ask for a child's personal contact details.
- Coaches must not ask for or share personal photos, give gifts, or arrange to meet a student in person.
- Coaches must never ask a child to keep a secret from their parents.
- Homework, feedback and schedule changes go to the parent or through the Platform.
If a coach contacts your child in any of these ways, please tell us straight away.
5. Safety on the website and app
- A child's account is created by a parent or legal guardian, who gives consent and controls the account.
- Leaderboards and other public features show only a first name, initial or nickname.
- Young learners need a grown-up's help to open features that connect them with other people, such as online play and sharing.
- We do not show advertising in the areas children learn in, and we do not track children for advertising.
- We collect only the information we need to teach the child. Parents can see, correct or delete it at any time.
6. What we ask of parents
- Keep class links, login details and PINs private, and do not share them outside your family.
- For younger children, set up the device in a shared room such as the living room.
- Do not record, screenshot or share classes or other children's images or voices.
- Tell us if your child seems upset or uncomfortable after a class, even if you are not sure why.
7. Rules for students
- Be kind. No bullying, teasing or rude language in class, chat or games.
- Never share your phone number, address, school or social media in class chats or games, and do not ask others for theirs.
- If anyone says or does something that makes you uncomfortable, tell your parent right away.
8. How to report a concern
Anyone can report a concern: a parent, a student, a coach or a member of staff. You do not need proof, and you do not need to be certain.

If a child is in immediate danger, contact the police (112) or the Child Helpline (1098) first, then tell us.
9. What we do with a report
- We act on child-safety reports promptly and keep the child's safety first while we look into them.
- Where a report is about a coach, that coach stops teaching the child, and where needed all students, until it is resolved.
- We review class recordings and messages where they are available, and speak with the parent.
- We keep the report confidential and share it only with the people who need to know.
- Where the law requires it, including under the Protection of Children from Sexual Offences Act, 2012, we report to the police or child-protection authorities.
- We tell the parent what we found and what we did.
10. Review of this policy
We review this policy at least once a year, and after any safety incident. The date at the top of this page shows when it was last updated.
